Getting Your Email and Information Under Control

Is your email inbox groaning under the weight of unread messages? Are you struggling to find information because you can't remember where you put it, or recognise the title you gave it?

Or perhaps you can find what you are after - but is it the most recent version or just one of many outdated copies still lurking on the server?

All staff are creating and using more information than ever before. As a result the documents, emails and spreadsheets which should be an asset helping you to carry out your daily work can rapidly turn into a liability which slows you down and makes life harder for you and those who work with you.

'Getting Your Email & Information Under Control' is a full day workshop which provides you with the skills and knowledge you need to regain the upper hand. It's a highly interactive and practical workshop where delegates get to put the skills they have just learnt into action, slowly bringing order to a chaotic mass of seemingly random and unconnected information - hopefully...

Target Audience

This workshop is aimed at anyone working within an institution who is routinely expected to deal with significant volumes of information or who just feels that they are controlled by their email rather than the other way around. It will be particularly useful to those staff with local responsibility for managing the documents and files created by others such as departmental or faculty administrators. It is a training session specifically designed for the end user, rather than the information professional.

Delegates will require a good working knowledge of Windows Explorer, including how to create, name and rename folders and how to move files between them.

Outcomes

Participants will have an understanding of the following areas and practical ideas of how to address them in their own organisation:

  • Finding information - the reasons why people struggle to find information; techniques for naming files & creating efficient filing structures
  • Controlling versions - why it goes wrong and practical tips for keeping it under control
  • Keeping and disposing of information - why it is important to get it right and the risks of getting it wrong; how to work out what to keep and how long to keep it for
  • Sending fewer and better emails - addressing the reasons why so many of us send such large numbers of messages, often of poor quality, and the problems it can lead to
  • How to make your email application work for you - all the handy hints and tips you need to effectively manage the emails you receive, regardless of the software you use
